Who it's for

Letting agencies (50–2,000+ managed)

Property managers drowning in reminders, chasing, access

Teams that need a clear audit trail and fewer “where are we up to?” moments

How it works

Step 1 — Collect
We capture expiry dates, certificates, access notes, landlord/tenant details, and preferred contractors (via your CRM if available, or via import).

Step 2 — Chase
Automated, white-labelled messages go out at the right times by email/SMS/WhatsApp (your rules, your tone).

Step 3 — Book & manage
We liaise with contractors, arrange access, and keep everyone updated until the job is done.

Step 4 — Close & log
Certificates, invoices, and outcomes are stored and logged with a timestamped audit trail (and can be pushed into your CRM where supported).

Give your team back the hours you lose to chasing.

FAQ

Frequently asked questions

Most questions come down to implementation. Here’s exactly what’s included in setup, and how The Contractor works once it’s live.

What’s included in setup

Setup is where we configure The Contractor around your agency’s process. We import your data, set the rules, write the comms templates, connect the right people, and test the workflow before you go live.

Setup is a one-off fee. Monthly pricing covers ongoing automations, monitoring, and support.

Setup includes

  • Property and contact import (or structured spreadsheet upload)
  • Expiry rules and chasing cadence (30/14/7 days etc.)
  • Landlord and tenant message templates (your tone, your branding)
  • Contractor list setup and instruction routing rules
  • Remedials workflow (quotes → works → re-test) where required
  • Go-live testing on a sample batch before rollout
How long does setup take?
Most agencies are ready to go live in 7–14 days, depending on how quickly we can confirm data and workflow rules. If your data is clean and you have a contractor list ready, it can be quicker.
What do you need from us to start?
To begin setup, we typically need:
  • Property list (address + key dates)
  • Landlord and tenant contact details
  • Your preferred contractors (or your criteria for choosing them)
  • Any special rules (access notes, landlord approval requirements, billing preferences)
Which certificates and renewals do you handle?
The Contractor is designed for recurring compliance workflows such as Gas Safety, EICR, and EPC. If you have additional recurring checks, we can map them into the same workflow during setup.
Can we use our own contractors?
Yes. We can work with your existing suppliers and build routing rules around them (area, availability, job type, preferred rates, or performance).
How do you handle no-response tenants or access issues?
We follow your chasing cadence and escalation rules. For example:
  • Initial request with multiple appointment options
  • Follow-ups at set intervals
  • Escalation to a manager or a phone call task when needed
Everything is logged so you can evidence what was attempted and when.
Do you replace our CRM or property management system?
No. The Contractor is designed to sit alongside your existing process and reduce admin. Where integrations are available, we can reduce double-handling further, but you remain in control of your core system.
What does “audit-ready” mean in practice?
Every workflow step is recorded with a timestamp, including communications, approvals, booking updates, and document filing. This gives you a clear history for internal oversight and compliance queries.
Is the pilot a long contract?
Pilot onboarding includes the setup work, then the monthly plan runs month-to-month. That keeps risk low while you validate the workflow in your day-to-day operations.
